Private Course Terms & Conditions

Private On-Site Courses

  1. It is the responsibility of the booking organisation to ensure the training location is suitable and meets all legislative requirements. Site requirements are listed on the relevant course pages.
  2. PracMed NZ Trainers will conduct a Job Safety Risk Analysis before starting any course. If hazards are identified, they may request these be minimised or eliminated before commencement. If hazards are significant, the Trainer may postpone the course at their discretion until the site is made safe.
  3. Any PracMed NZ personnel engaged on-site must be inducted under the hosting organisation’s policies and procedures.

Blended Courses

All assessments are conducted by PracMed NZ approved Trainers. Instructions, including duration, location, right of appeal and requirements to receive an ‘achieved’ grade, are provided at the beginning of every course.

Everything a Learner needs to complete the blended prerequisite, including the link to the online course, the enrolment/personal details form and the due date, is included in the registration confirmation email.

Completion Deadline

The online prerequisite must be completed by 12pm, three business days before the course date. This is a hard cutoff. The specific due date is confirmed in the registration confirmation email.

Our support team is available Monday to Friday, 9am to 4:30pm. Log-in and access issues cannot be resolved outside those hours.

PracMed NZ will send one reminder to the Point of Contact (POC) at seven business days before the course for any Learners who have not yet completed. After that, it is the responsibility of the POC and the Learner to ensure completion by the due date.

Extensions

Extensions to the completion deadline may be granted at PracMed NZ’s sole discretion. An administration fee of $50 ex GST per Learner, or $150 ex GST for three or more Learners on the same course, will apply.

Completion Requirements

Each Learner must complete the online course individually in their own account. Where a group session has been arranged, see Group Sessions below.

Group Sessions

Group sessions allow one Learner to present the course on a screen while the group completes it together. A completed group sign-off attendance form must be submitted by the due date to allow PracMed NZ’s team to verify the records. This form can be requested from contactus@pracmednz.com.

A cohort may include a mix of individual and group completions. Not all Learners are required to complete in the same format.

Group sessions operate on a high-trust basis. The online prerequisite content will not be revisited during the in-person session. It is generally evident when the material has not been completed, and Learners who have not genuinely engaged with the content are at a significantly higher risk of not achieving on the practical day.

Enrolment Form

A link to the enrolment/personal details form is included in the registration confirmation email. This form must be completed by the online prerequisite due date. Where the form has not been completed and PracMed NZ’s administration team is required to follow up after the course, an administration fee of $50 ex GST applies.

Non-Completion

If a Learner does not complete the online prerequisite by the deadline, they will receive an automatic ‘did not achieve’ result and will not be permitted to attend the in-person session. The Learner will be removed from the course. The course minimum still applies.

Late Additions

Learners may be added to a private course within the final days before the course date, provided they are able to complete the online prerequisite in full by 5pm on the day of enrolment. The standard 12pm three-business-day deadline applies to all other enrolled Learners.

Technical Requirements

Learners will need access to a computer or device with internet connection. For the best experience on a mobile device, landscape mode is recommended. Full instructions and a tutorial are included in the first slides of the course.

Course Duration

Allow up to 4 hours to complete, though many Learners finish in 2 hours or less. The course can be started and stopped at any time during the open period, with progress saved automatically.

PracMed NZ recommends organisations allow Learners time during work hours to complete the online course. Courses with an expectation of out-of-hours completion consistently have lower completion rates.

No Exams

There are no tests or exams in the online course. The only Learners who have not completed in the past are those who left it too late or did not allow enough time.

IT Issues

The most common issue is Learners attempting to log in with a different email address to the one the course invitation was sent to. Before contacting us, check that Learners are using the correct email.

If issues continue:

  • Refresh the browser.
  • Clear cookies.
  • Contact our support team during business hours (Monday to Friday, 9am to 4:30pm). We aim to respond within 24 business hours.

These steps are also outlined in the course instructions.

Deferral

If a Learner has completed the online course but cannot attend the scheduled in-person session, they may defer without needing to re-sit the online component, provided the new in-person date is within 3 months and PracMed NZ is notified within the cancellation and changes period outlined below.

Payments, Changes and Refunds

PracMed NZ does not issue refunds on private course fees. The cancellation schedule below determines what is owed.

Invoicing

Invoices for the course minimum, plus travel if applicable, are generated at the time of booking confirmation with 30 day payment terms, or payment due before the course date, whichever is sooner. Additional Learners, if any, are invoiced after the course.

Participant Swaps

A named Learner may be swapped for another at any time at no charge. Where the course is a blended course, the incoming Learner must be able to complete the online prerequisite before the due date. Standard blended terms apply.

Changes to Bookings

Changes to the date or location of a course after initial booking will incur charges for any travel, venue and/or accommodation expenses already incurred by PracMed NZ. Additional administration fees may apply.

Cancellations by the Client

All cancellation notices must be provided in writing to contactus@pracmednz.com. Any travel and accommodation expenses already incurred by PracMed NZ are payable regardless of when the cancellation is made.

  • More than 7 business days before the course: no charge
  • Within 7 business days of the course: $150 ex GST administration fee
  • Within 2 business days of the course: $350 ex GST administration fee

Outstanding Fees

Fees remaining after the due date may incur a weekly administration fee until paid in full. Certificates and qualifications will not be issued until all fees are paid in full.

Cancellations by PracMed NZ

  1. PracMed NZ reserves the right to cancel courses at our sole discretion.
  2. All reasonable steps will be taken to notify the client and all stakeholders as soon as possible.
  3. PracMed NZ will not be liable for any costs incurred as a result of a cancellation.
  4. PracMed NZ will take all reasonable steps to transfer the booking to another date agreeable to the client.
  5. If a new date is not agreeable, a refund of fees paid will be issued.
